ONLINE EVENT ENTRY Instructions and Checklist


This is a long document. Please ensure you read it all before proceeding as it contains vital information that will assist you in using the offroadracing.com.au online event entry system.



USING THE ONLINE ENTRY SYSTEM

There are two methods for using the offroadracing.com.au online event entry system.

  • Method 1 - Create and use an Off Road Profile Account
  • Method 2 - Fill out Event Entry Forms without an Account


METHOD 1 - CREATE AND USE AN OFF ROAD PROFILE ACCOUNT
Creating an Off Road Profile Account will take a small amount of time to set up, but will save you time in future when you enter events using the offroadracing.com.au online entry system.

Your Off Road Profile Account will contain your team, driver, navigator, vehicle details including CAMS License numbers, expiry dates, Club Membership and more information that is used to enter events. The information in your Off Road Profile Account is used to auto fill in the online entry forms.

Note:  Setting up your Off Road Profile Account does not enter you into this event

It is a two-step process and the Off Road Profile Account is the first step; logging into the website and completing the event entry form is the second step. You can log into your account at any time to update your details. The more complete and accurate the details in your Off Road Profile the easier it will be to enter events etc.

Please check the entry form carefully as there are additional items that need to be completed that are not in your Off Road Profile account. You can type over the auto filled fields, however, that will not update your profile, only this entry form. This is useful if you have a sponsor for one event only.

Steps
  • Create an Off Road Profile Account
    If you have an account, go to the 'Log into your Account' step
  • Respond to the account creation email you will receive
  • Log into your Account
  • Fill out the entry form whilst logged in

METHOD 2 - FILL IN REGISTRATION FORM without an account
Alternatively, you can choose NOT to ‘Create an Off Road Profile Account’ and complete the details for this event entry individually. Your details will not be stored and will not be used auto populate and assist in future event entries. Below is a check list of the information that is required to enter an event using the offroadracing.com.au online event entry system.


USEFUL TIPS for Filling in the Online Forms

Please complete the form with Upper and Lower Case type ie First Name, not first name or FIRST NAME.

More information about the content required for each field can be found by hovering the mouse pointer over the to the right of the field.

Required fields must be completed before the Off Road Profile Account and Event Entry Form can be submitted.

If the screen doesn't progress to the Summary Page, scroll up and check for any fields that have a . All fields must have a to continue. Correct the fields with a and click NEXT STEP again.

When you have completed all the required details
  • enter the security code
  • check Read Terms and Conditions
  • click the NEXT STEP button
at the bottom of the form.

The system will progress to a Summary Page.  If you're satisfied with the Summary Page, click NEXT STEP. 

The Payment Options page will load. All fees will be automatically added to your Total Registration Cost, including fees for NOSE and NONSE licences, camping, extra Navigators, additional Pit Crew and meal packages.

You can pay via EFT, Cheque or Credit Card. If paying by credit card, please have these details ready as you will be required to enter them. EFT can be done through your online banking facilities; confirmation of payment via EFT must be sent to This e-mail address is being protected from spambots. You need JavaScript enabled to view it . Your entry is not valid until receipt of the EFT money. There will be no chasing up of unpaid EFT. Cheques must be posted to the address provided on the confirmation page. The option for EFT and Cheque payment will be withdrawn one week prior to the close of entries.

A Confirmation Page will load, which means your entry has been successfully processed.  If you do not get to the Confirmation Page or receive the confirmation email, your Internet Browser may have timed out.  Try again and if still unsuccessful, email This e-mail address is being protected from spambots. You need JavaScript enabled to view it .

Your entry will be verified before the details are added to the event competitor list.

You have 40 minutes to complete the online entry form before it will timeout and then the data will need to be re-entered. Once you start this process, you must complete it within 40 minutes.

  • Number is CAMS Registered* (Have you paid the fee to CAMS to have a Nationally Registered Competition Number)

Team Contact Details

The Team Contact email address below will be used for the confirmation of this entry and any pre and post event email communications.
The Team Contact Person and Phone Number will be used for all event related communications, including SMS contact during the event.

Co-Driver and Navigator Details

The details required for Co-Driver Navigator and additional Navigators are the same as for Driver.
  • If you or a member of your competing crew requires an OLT or a NOSE NONSE licence (single event ) you will need to select the appropriate option
  • If you are requiring an OLT please enter OLT into the CAMS License Number* box and the event date into the CAMS Licence Expiry*
  • There is a charge for a NOSE or NONSE license. If you choose to use a NOSE or NONSE license please enter NOSE or NONSE into the CAMS License Number* box and the event date into the CAMS Licence Expiry* box.


OTHER DETAILS

Pit Crew

There are six Pit Crew allocations available. The first two for two-seat vehicles and the first three for single-seat vehicles are included in the entry fee.  Any additional pit crew will be charged at the rate stipulated in the event Supplementary Regulations.

Please fill in the first and last name of your intended pit crew. If you do not know who your pit crew will be, you may use TBA, but you MUST email or phone the help desk when you know the details of your pit crew.  This will enable event identification to be printed prior to the event and assist with the smooth running of event documentation. 

Promotion Form Details

Filling in these extra fields will enable the event to produce a promotion form for the track commentators.

Sponsor Details Sponsor details will be auto populated from your Off Road Profile Account. You can add additional sponsors to this list if you have sponsors specific for this event. If you want these sponsors to appear in your next event entry, you will need to edit you profile before commencing that entry.

If you have more than one sponsor, please separate with a comma. For example Sponsor 1, Sponsor 2, Sponsor 3.

Camping, Catering and other event fees
For events that are providing camping, catering packages, presentation dinner tickets etc, these will be able to be purchased online with your entry. Please ensure you have the relevant numbers to complete these selections. Consult the individual event Supplementary Regulations and guides for further information.

PAYMENT

After completing the form you need to select how you wish to pay for the entry.
Your choices are - EFT or Cheque - or Credit Card.

Your entry will not be valid until payment is received and payment must be received by the close of entries (Refer CAMS NCR 76 & 81).

Please have all the above information at hand as you must complete the entire registration/entry form in one go within 40 minutes. An incomplete registration/entry will fail and you will not be entered for the event.
